- Using Help

- TextWare provides three types of on-line help to provide answers to
- questions which may arise. Also, the bottom help line provides a
- list of important keys and functions.
-
- The first type of help is the context-sensitive help, available at
- any time by pressing F1 or clicking on the F1 Help section of the
- bottom help line. This displays a summary of keys available and
- specific help for the area or dialog box that was in use when the
- help was invoked.
-
- The second type of help is the on-line TextWare Users Manual. This
- CardFile is an on-line copy of the documentation which was included
- with the software. Use this help to search and display detailed
- explanations about TextWare's features.
-
- The last type of help is the custom help. This help is provided by
- the system administrator or publisher and contains information on
- the specific CardFiles that you are using.

- Select CardFiles to Open

- The CardFile List box displays a list of CardFiles to open. To
- open a CardFile, place the cursor on the desired CardFile and press
- Enter. To open more than one CardFile, use F5 to mark CardFiles or
- use Shift+F5 to mark all CardFiles. To open CardFiles in another
- directory, type Alt+P or use the Tab key to move to the "Path to
- additional CardFiles" box. Enter the path and press Enter. All
- CardFiles located in the specified directory will display.

- Examining CardFiles
-
- Once a CardFile or CardFiles have been opened, the first Card of
- the active CardFile is displayed. The active CardFile is the
- first CardFile selected from the Open CardFiles text box. All
- selected CardFiles will be opened together to form one "giant"
- CardFile, appended in the order they were selected. To cycle
- among active CardFiles, use Ctrl+PgDn and Ctrl+PgUp. To move
- directly to an open CardFile, choose Go to CardFile from the
- Search menu and select the desired CardFile.

- To examine text in the active CardFile, use the up and down arrow
- keys to move the cursor a line at a time. To move the cursor a
- screen at a time, use the PgUp and PgDn keys. Users with a mouse
- will see buttons at the far right of the menu bar. From this
- "Button Bar," click on the arrow keys to scroll through the text
- a line at a time or click on the up and down triangles to move
- through the text a screen at a time.

- To perform a search, press the Space Bar, select Enter from the
- Search menu or use the mouse to click on "Space Enter search"
- in the bottom help line. This will display the Search dialog box.
- Refer to the Search dialog box help for more information on
- entering a search.

- While scrolling through the text, words may appear in a different
- color or reverse video. These are Links. There are several types
- of Links available. The types are word Links, image Links,
- program Links and Sticky Notes. To determine the Link type, move
- the cursor to the Link word with the arrow keys or click on the
- word with the mouse. The bottom help text will now change to
- reflect the Link type. To perform the Link, press Enter again.

- You will need to block text for output and to create Bookmarks and
- Links. To block using the keyboard, move the cursor to the
- position you want the block to begin, and hold down the Shift key
- as you use the arrow keys to extend the block across the desired
- area. For mouse users, click on the beginning of the text, then
- hold down the left mouse button and drag the mouse pointer to
- where you want the block to end. To cancel the block, press any
- letter or press the left mouse button again.

- Search Dialog Box

- Use the Enter Search Criteria box to look for specific words or
- phrases or to perform Boolean, phrase or proximity searches.
- TextWare uses wildcards to locate derivations of a word. There are
- two types of wildcards available. The asterisk (*) represents a
- whole word or one or more characters, while the question mark (?)
- represents a single character.

- After entering the search criteria, press the Enter key. If the
- search is successful, TextWare displays the "Hit List." Press
- the Space Bar to access the Enter a Search dialog box again.
- Upon returning to this dialog box, the Enter Search Criteria box
- displays the last successful search. Press the left or right
- arrow keys to maintain the search and insert text before or after
- the previous search criteria. Pressing any other key will delete
- search and allow the user to enter a new search.

- Searches may also be executed directly from the Word Wheel. To
- use the keyboard, use Tab to move to the Word Wheel box or press
- Alt+W. Use the up and down arrow or PgUp and PgDn to move
- through the wheel. Also, typing any word will scroll the Word
- Wheel to the nearest match. When the desired word is highlighted,
- press the Enter key to select the word. The cursor will then
- remain in the Word Wheel. Press Alt+O or click on OK with the
- mouse.

- Hit List Help

- Executing a search displays the "Hit List" box. This box is
- divided into two boxes. The Hit List is a list of brief
- descriptions (called Short Displays) for each Card that matches
- the search criteria. Each Card in the CardFile has a descriptive
- "Short Display" to help the user narrow the search to a specific
- Card. The query box displays the search criteria - the phrase,
- boolean or proximity search that generated the Hit List.

- To select a Card, select the desired Card's Short Display with the
- mouse and double-click to view the Card, or use the arrow keys to
- highlight the Short Display for the desired Card and press Enter.
- This displays the Card with all search criteria highlighted. To
- remove the Hit List display, press the Escape key or click on the
- close box in the upper left corner. Press the Space Bar to enter a
- new search or F9 to display the Search Dictionary or choose these
- options from the Search menu or by clicking on the item in the
- help line.

- Search Dictionary Help

- The Search Dictionary contains a list of searches saved from
- current or previous retrieval sessions. Boolean, phrase and
- proximity searches may all be saved to the Search Dictionary. The
- Dictionary Search dialog box contains two boxes with three command
- buttons. Use Tab and Shift+Tab to move between the "Search
- Descriptions" list box and the command buttons, or select the
- search and the command buttons directly with the mouse.

- The Search Descriptions list box contains a descriptive name of
- each search in the dictionary. Keyboard users: use the up and
- down arrows to scroll through the saved searches. Press Enter to
- execute the search. Mouse users: simply click on any of the
- desired searches and then click on OK to perform the search. Upon
- highlighting a search description, the actual search that will be
- executed is displayed in the Search Criteria box. Pressing Enter
- causes all items in the search criteria to be searched.

- To delete a search, use the up and down arrows to move the cursor
- to the search to be deleted, then click on Delete or hold down Alt
- and press D. The search will be deleted and the Search Dictionary
- box will closed.

- Close CardFile Help

- The "Select CardFiles to Close" dialog box displays a list of all
- open CardFiles. To close a CardFile, place the cursor on the
- desired CardFile and press Enter. To close more than one
- CardFile, use F5 to mark CardFiles to be closed and press Enter.
- To close all open CardFiles, use Shift+F5 to mark all open
- CardFiles and then press Enter.

- Print Help

- Users may output Card text to a printer or a text file (specified
- in printer setup). Select the option from the Print From dialog
- box by pressing Alt plus the highlighted letter. When the desired
- option is selected, use Tab to move to the command button box or
- press Alt+O to select OK. The following options are available:
-
- Blocked Text
- To print blocked text, use the mouse or the keyboard to
- select the desired text and then choose Blocked Text from
- the Print Options box. Click on OK or press Alt+O to start
- the printing. This function allows you to print multiple
- Cards.
-
- Current Card
- This option will print the Card which contains the cursor.
-
- Hit List
- This option will print out the short displays for each Card
- that meets the current search criteria.
-
- Hit List Cards
- This option will print the Cards which meet the search
- criteria.
-
- Unique Word List
- This will print out all words that appear on the Word Wheel.
-

- Printer Setup Help

- This option sets the print options used to output data. TextWare
- supports HP LaserJet and Epson printers. There is also a generic
- driver for outputting data to a text file. If the user specifies
- a text file that already exists, you will be prompted to append or
- overwrite the existing text file. Below are the options for this
- dialog box:
-
- In the "Printer Types" box, select either HP, Epson or Generic.
-
- In the "Print Devices" box, select the port (LPT or COM) or
- choose Disk File to print to a text file.
-
- If you select LPT or COM, enter the port number in the field
- that appears at the bottom of the dialog box.
-
- In the "Print Size" box, select normal or compressed.
-
- In the "Lines per Inch" box, select six or eight.
-
- If HP is selected, in the "Orientation" box select portrait or
- landscape. Check Legal Size if you are printing on legal sized
- paper.
-
- If Epson is selected, in the "Quality" box, select letter or
- draft.
-
- Printers may be controlled by entering escape codes. To enter
- additional escape codes, create a text file which contains the
- code. Enter the name of the text file in the "Setup File" field.
- To reset the printer, create a text file which contains the
- printer reset command. Enter the name of the reset text file in
- the "Reset File" field.

- Change Short Display Help

- The Short Display is a 68-character description designed to help
- narrow the search to a specific Card. The Short Display may be
- changed whenever a Card is added or edited, or it may be changed
- by selecting Short Display from the edit menu.

- The "Change Short Display" dialog box will then be displayed.
- This dialog box contains one text box with two command buttons.
- The cursor will be active in the Enter the Short Display text
- box. Enter the new Short Display and press Enter or select OK
- with the mouse, or press Alt+O.

- Save a Search Help

- The Search Dictionary contains a list of searches saved from

- After selecting "Save" from the search menu, the "Save a Search"
- dialog box is displayed. This box contains two boxes with two
- command buttons. Use Tab and Shift+Tab to move between the "Enter
- the Save Search Description" box and the command buttons.

- In the upper-right corner of the dialog box are two command
- buttons, OK and Cancel. When a search has been selected from the
- Search Descriptions list box, press Enter or click on OK to
- execute the requested search. To cancel the dialog box, press
- Escape, click on the close box, click on Cancel or hold down Alt
- and press C to select the "Cancel" button and then press Enter.
- Or use Tab and Shift+Tab to move the cursor to the OK command
- button. Use the up and down arrows to move between OK or Cancel
- and press Enter. Either way, this will remove the dialog box
- without saving a search.

- In the "Enter the Save Search Description" box, enter the
- 32-character description for the search criteria displayed in the
- Save Search Criteria box. Press Enter or Alt+O or select OK with
- the mouse to save the search. The search will not be included in
- the search dictionary.

- Search by Files Help

- This option is only available with CardFiles created in the
- native format. When the option is selected, a list of a
- filenames will be displayed in the File List box. Use F5 to
- select the file or files to which you wish to narrow the search.
- Press Enter or select Alt+O to close the dialog box. Press the
- Space Bar to execute a search on the selected files.
-
- To again search the entire CardFile, select Files from the search
- menu and press F5 to remove a single mark, or press Shift+F5 to
- unmark multiple files. Press Enter or select Alt+O to close the
- dialog box. The entire CardFile (or multiple CardFiles, if open)
- will now be searched.

- Search by Group

- When the option is selected, a list of all Group names will be
- displayed in the Group List box. Use F5 to select the Group or
- Groups to which you wish to narrow the search. Press Enter or
- select Alt+O to close the dialog box. Press the Space Bar to
- execute a search on the selected group.

- To again search the entire CardFile, select Groups from the search
- menu and press F5 to remove a single mark, or press Shift+F5 to
- unmark multiple files. Press Enter or select Alt+O to close the
- dialog box. The entire CardFile (or multiple CardFiles, if open)
- will now be searched.

- Search by Template

- Searching with a template requires that data have been enter into
- the CardFile via a template. In the displayed template, enter
- the data to be searched in the specified fields. You may put data
- in all fields or in selected fields. Once the search is complete,
- press Escape to execute the search. The user will then be
- prompted to "Perform the Template Search?" Press Enter or
- click on OK to execute the search. The Hit List will then be
- displayed.

- Search for Bookmarks

- A Bookmark is a special type of Link that marks a selection of
- text for instant access. Bookmarks do not appear highlighted
- unless you specifically search for them. To search for a
- Bookmark, move the cursor to the desired Bookmark and press Enter.
- The cursor will be placed in the CardFile on the Bookmark.

- Go to CardFile

- The Go to a CardFile box displays a list of all open CardFiles.
- To move to an open CardFile, place the cursor on the desired

- Go to Group

- The Go to a Group box displays a list of all Groups contained in
- open CardFiles. To move directly to a Group, place the cursor on

- in the group will now be displayed. Choose the desired Card from
- the Hit List and use the + and - keys to move between the Cards
- which belong to the Group.

- Go to File

- The Go to a File box displays a list of all files contained in
- open external CardFiles. To move directly to a file, place the
- cursor on the desired file's name and press Enter or select the
- file with the mouse and click on OK. The Hit List for all Cards
- created with the specified file will now be displayed. Choose the
- desired Card from the Hit List and use the + and - keys to move
- between the Cards which belong to the file.

- Go to Card

- This function allows the user to move directly to a specified
- Card. The Go to a Card dialog box contains the Enter the Card
- Number text box and two command buttons. In the text box, enter
- the Card number and press Enter or click on OK. The cursor will
- now be in the specified Card.

- Word Link (First time)

- The Link Word(s) to Word(s) dialog box has two text boxes and two
- command buttons. The blocked text will be displayed in the From
- Word(s) text box. Press Enter or select OK to create the word
- Link or select Cancel to cancel and close the dialog box. Then
- move to the word or phrase to be linked and block the word or
- phrase. Select Word from the Link menu.

- Second time
-
- The From Word(s) text box contains the word from which to create
- the Link, while the To Word(s) text box contains the word to be
- linked. To link another word, select Continue. Block the word
- or phrase to be linked. Continue blocking and linking words.
- When the Link is complete, select OK. The word Links will now be
- displayed in a different color.

- Image Link

- The Link Word(s) to Image dialog box is now displayed. This box
- consists of three text boxes, one list box and three command
- buttons. In the "Image Name" text box, enter the name and
- extension of the image. If the image does not exist, the message
- "The image does not exist" will be displayed when you try to
- display it.
-
- In the Viewer Options text box, enter any parameter the viewer
- program may need to display images. In the Path to Image File
- text box, enter the path to the image. If the images are in the
- TextWare directory, you may leave this field blank. From the
- Image Viewer list box, select a viewer program. If you choose
- Custom, be sure to enter the name of the custom viewer program in
- the Viewer Options text box.

- When all options are correctly configured, select Preview to
- display the image. Be sure the image is displayed correctly,
- because image links may not be edited (only deleted and created
- again).

- Program Link

- The Link Word(s) to Program dialog box is now displayed. This
- box consists of two text boxes, one option box and three command
- buttons. In the "Program Name" text box, enter the name and
- extension of the program to be run. In the Program Arguments
- text box, enter any parameters or arguments the program may need.
-
- With some programs (such as audio links), you may not wish to
- select the Clear the Display option, choosing to run the program
- in the background instead. The default is to clear the screen
- when a program is run. If this option is not selected, the items
- displayed on the screen will remain and the program will be
- executed in the background.
-
- When all options are correctly configured, select execute to
- start the program. Be sure the program is configured correctly
- because program Links may not be edited (only deleted and created
- again).
-

- Sticky Note Link

- A Sticky Note is a hypertext link that displays a short text
- file. Sticky Notes may be added and deleted on-the-fly. The
- designated text editor will be displayed. Enter the text to be
- displayed in the Sticky Note. The Sticky Note may not be more
- than 16 lines long. Also, each line may not exceed 68 characters
- and must end with a carriage return.

- When the text has been entered, save the file and close the text
- editor. The user will then be prompted to "Link Sticky Note to
- Blocked Text?" Press Enter or select OK to complete the Sticky
- Note Link.

- Create a Bookmark

- To create a Bookmark, enter the description of the Bookmark and
- press Enter or select OK. The Bookmark description may be any
- combination of letters and numbers, up to 32 characters. This
- description will now appear in the Bookmark list.

- Create a group
-
- A Group is a set a Cards related in a way determined by the user.
- Cards may also be appended to an existing Group. The Create a
- Group dialog box contains one text box, a list box and two
- command buttons. In the Group description text box, enter the
- name of the new Group or, if you wish to append a Card, the name
- of an existing Group. From the Get Cards From list box, choose
- the method of grouping Cards. Users may block text and create a
- Group, add the current Card to a new or existing Group, or make
- all of the Cards on the Hit List a Group. When the dialog box is
- complete, select OK. The new Group will now be available for
- users to narrow the search to this Group.

- Delete a Group

- When the Delete a Group option is selected, a list of all Group
- names will be displayed in the Group List box. Use F5 to select
- the Group or Groups that you wish to delete. Press Enter or
- select Alt+O to delete the Group and close the dialog box.
- The Group is now deleted.

- Synonyms
-
- When synonym searching is enabled, TextWare finds all the words
- designated as synonyms in the specified synonym file. When the
- specify synonym file dialog box is displayed, enter the name of
- the synonym file to use in the Enter Synonym Name text box. When
- the box is complete, press Enter or select OK to close the dialog
- box and enable the synonym searching. When a user enters a
- search, all synonyms will be found.

- To disable synonym searching, select Synonym from the Options
- menu. The check mark will no longer be displayed.
-

- Order of Results

- This option allows the user to display an image first and then
- the associated Card text. This is important for applications
- where the images are more important than the text. The Order of
- Search Results dialog box contains a list box and two command
- buttons. In the Display First List box, move the cursor to the
- option to display first. When the option is highlighted, press
- Enter or select OK to set the order of search results and close
- the dialog box. With Image First set, when the user selects a
- Card from the hit list, the first image link on the Card will be
- executed. The user will then press Escape to view the Card text.

- Display Type

- TextWare program will attempt to detect the display type for your
- computer. If images do not display correctly, this option allows
- the user to specify which display type to use. From the Display
- Type list box, move the cursor to the correct display type and
- press Enter.

- ASCII Editor

- TextWare may use any external editor to make changes to existing
- CardFiles. This allows you to use an existing, familiar editor
- rather than learning a new program. TextWare uses the MS-DOS
- editor as the default. The Specify Text Editor box contains one
- text box. In the Path to Text Editor text box, enter the path
- and name of the text editor to use. Press Enter or select OK to
- complete the change.

- Once the change has been made, whenever a user adds or changes a
- Card, the specified editor will be started.
-

- Create a New CardFile
-
- Specify particular files or file patterns to include or
- exclude, using wildcard characters where necessary. (For
- example, you may select *.* as the include pattern, then
- enter specific exclusions.) When the list of files is
- complete, choose OK to continue.

- To select a specific file, enter the name of the file in
- the Include box or press Alt+F or the Tab key to move the

- select files to be indexed and press Del to exclude files.
- If you accidentally select the wrong file to include or
- exclude, move the cursor to the file and press the Del
- key. Once all files and patterns are selected, you may
- select the Sub-dirs button. This button will index
- subdirectories one layer deep and find those files which
- match the specified pattern.

- To select files from another directory, choose Continue
- and repeat the selection process. To select the file
- options, select Options. This will display a dialog box
- with a list of options for creating the CardFile.

- When you are finished with all selections, choose OK.

- Append Files to an Existing CardFile
-
- To append files to an existing CardFile, include and
- exclude files as if you were creating a new CardFile. Be
- sure to select the options for the specified files or
- patterns.

- In the CardFile Options dialog box, enter the name of an
- existing CardFile. Be sure to use the same options that
- were selected when the original CardFile was created.
- Select OK when finished.
-
- From the File menu, select Update. Enter the path and
- name of the existing CardFile in the Path of CardFile to
- Update box. Press the Tab key to move to the Update
- Options box and press the down arrow to select Append to
- the CardFile. Press the Tab key until OK is highlighted
- and then press Enter or press Alt+O. The files will now
- be appended to the existing CardFile.

- Options for CardFile

- The first option is the type of storage. TextWare will
- convert ASCII text files and most popular word processor
- files to its internal format. You also have the option of
- leaving WordPerfect 5.1 for DOS, Word 5.5 for DOS, and
- ASCII files in their original format.
-
- The next option is the Card delimiter. This option
- determines how the text will be broken into Cards. You
- may choose to divide Cards by File, by Page, or by
- Paragraph simply by selecting the check box next to one of
- those options. In addition, you may specify a number of
- lines or a unique character string. If you check the
- Number of Lines box, a small dialog box will pop up and
- ask for the number of lines. Enter a number. If you
- enter 60, for example, each Card in the CardFile will be
- 60 lines long. A line is any string of characters
- followed by a carriage return and line feed. If you check
- the Unique String box, a larger dialog box appears, asking
- for details about the character string.

- This option allows you to use an alphanumeric character
- string that already exists or that you have placed in your
- text file(s). If you enter that string here, Cards will
- be divided on each occurrence of the string. The string
- must be in the left margin of the text file, and cannot
- exceed 30 alphanumeric characters. Specify whether you
- have placed the string at the beginning or the end of the
- Card by choosing the appropriate check box. Also, if you
- want the indexer to delete the string after indexing,
- choose the Remove String option from Card box.

- The final option is the File Type. Select Auto Detect if
- you are unsure of the file types or have several types of
- files that you are indexing. If all of the files are of
- one type, say WordPerfect 5.1, select the specific file
- type. Selecting the word processor type is slightly
- faster.

- CardFile Options

- In the CardFile Options dialog box, specify a path and
- name for your CardFile. Do not enter a file extension as
- part of the name. Type a description in the Description
- field. This is the text that will appear in the list of
- available CardFiles when you select Open (for searching).

- Then choose how you want the Short Display to look. You
- may accept the default setting, which is using the first
- 68 characters of the Card (Beginning of Text option), or
- you may choose to add the filename (File and Text option)
- along with the first part of the Card's text.
-
- If you choose to use a stopword file, enter its name in
- the Stopwords field. The file must already exist. You
- may use the TEXTWARE.STP default stopword file or one of
- your own.
-
- If you wish to add to the existing list of embedded
- characters, type them into the Embedded field. Embedded
- characters are indexed only if they appear between two
- letters or numbers.
-
- If you wish to add to the existing list of letters, enter
- them into the Letters field. These are special characters
- that you choose to index as letters.
-
- If your CardFile will include foreign language characters,
- make sure the Foreign Characters check box is enabled to
- index these characters.
-
- You should also enter your translation characters into the
- Translation field. This allows you to enter standard US-
- English characters in search expressions and still find
- words that contain the foreign character equivalents.
-
- If you wish to exclude numbers from the CardFile index,
- de-select the Index Numbers check box.
-
- If you wish to compress the CardFile, select the Compress
- CardFile check box.
-
- If you wish to enable autodetection of images, select the
- Auto-Detect Images check box. Another box will be
- displayed which prompts you for the image extension and
- viewer to use.
-
- If you wish to reformat the text so that users need not
- scroll to the right to view all text, select the Reformat
- Text check box.
-
- When all the options you want are selected, choose OK.

- Build

- Selecting Build creates the CardFile. In the Path of
- CardFile to Build, enter the path and name of the CardFile
- without any extension. If the Command File has been
- deleted or does not exist, select the Rebuild the Command
- File option. When finished, select OK with the Mouse or
- press Enter. The CardFile will now be created.

- Update

- Sometimes it becomes necessary to make updates to a
- CardFile. If you have made changes to any external files
- that make up the CardFile, or if you need to add files to
- the CardFile, you must use the update option.

- In the Path of CardFile to Update text box, enter the full
- path and name of the CardFile that needs to be updated.
- Then select one of the following options:
-
- Update the CardFile - Internal: looks for a batch
- update file (cardfile.BCH) and
- implements the changes if it
- exists
-
- External: checks the date and
- time stamp on external files for
- changes, and updates the CardFile
- if they have been modified
-
- Re-build the CardFile - Deletes the existing CardFile
- and completely re-indexes the data
- using the existing CardFile
- Definition File and CardFile
- Command File

- Append to the CardFile - Adds new files that you have
- specified by editing the CardFile
- Command File, and indexes the new
- files

- Re-build the Command File - Deletes a CardFile's Command File
- and regenerates it using the existing
- CardFile Definition File

- Use the Re-build the CardFile option if the CardFile data
- becomes corrupt, or if, after making changes or deletions
- "on the fly," you wish to restore the CardFile to the
- original data as defined in the existing CardFile Command
- File.

- Use the Re-build the Command File option if the data
- becomes obsolete (you have added files to the directory
- that fit the "include" file pattern, for example).
- This function creates a new CardFile Command File using
- the inclusion and exclusion settings in the CardFile
- Definition File. After rebuilding the CardFile
- Command File, you must rebuild the CardFile.

- Delete

- TextWare allows you to delete CardFiles from within the
- program. You must have sufficient privileges to delete,
- however.

- Obviously, be very careful with this option.

- In the Path to CardFile text box, enter the path and name
- of the CardFile to delete. Select OK. The CardFile will
- be deleted. Deleting a CardFile will not delete the
- CardFile's definition file (.CFD) or the command file
- (.CMD). This allows you to easily re-index the CardFile
- in the future if you wish.

- Stopwords

- To create or edit a stopword file, enter the name of the
- stopword file with an .STP extension. This will start the
- specified editor. Type the words you wish to be
- stopwords, separated by a space. When you have finished
- entering words, save the file and exit the editor. You
- may give the file any name you wish, as long as you
- designate the .STP extension.

- Note: Each line in a stopword file may not exceed 126
- bytes. That means you may not enter more than 126
- characters on each line, including spaces. Also, all
- stopwords are loaded into memory, so a very large stopword
- file may slow performance somewhat, and is not advisable.
-
- After exiting the editor, you will return to the dialog
- box. Select OK to complete the process. You may now
- specify your custom stopword file when creating the index.

- Synonyms

- Synonyms are defined in text files. To create a synonym
- file, or to edit an existing one, you must be in
- TextWare's indexing module. Close all CardFiles and
- select Index from the File menu.

- Select Synonyms from the Edit menu.

- Type the path, followed by the synonym file's name. If
- you don't specify a path, the default path will be the
- directory where the TextWare files are installed.
-
- Note: You may use any filename you wish, but do not
- specify the SYN extension. The file will be saved with the
- filename you specify here, and then, when you select OK,
- TextWare will convert the file to its own format (not
- text), and give that file the SYN extension.
-
- If you wish to edit the TextWare synonym file, enter
- TEXTWARE in the text box.
-
- Select Edit by clicking with the mouse or pressing Alt+E.
- Your designated text editor will open. You may now enter
- your synonym words.
-
- Type the words that will be considered equivalent on the
- same line, separated by a space. See the example below:

- Note: Each line in a synonym file may not exceed 126

- External File Paths

- You may modify external files in a CardFile using the
- application which created them and save them in a new
- location. (See Updating CardFiles.) You may also move
- the external files to another directory. In the latter
- instance, you must notify TextWare of the new directory
- path.

- To set the paths for external files, you must have
- sufficient privileges. You must have closed all CardFiles
- and entered the indexing module by selecting Index from
- the File menu.

- Select External File Paths from the Edit menu. The Change
- External File Paths dialog box will appear. Enter the
- current path and the name of the CardFile whose external
- file paths you wish to change. Move to the Change From
- field (use the mouse, the Tab key, or press Alt+F). Enter
- the existing or old path (where the external files are or
- have been). Move to the Change To field. Enter the new
- path and press Enter or choose OK.

- CardFile Options

- The CardFile options enable certain restrictions to be
- placed on a CardFile, such as not allowing users to print
- or edit the CardFile. The options also include special
- capabilities you can give the CardFile, such as batch
- updating. The options you can set through the CardFile
- options are as follows:

- o No Printing
-
- o No Editing
-
- o No Linking
-
- o Batch Update
-
- o CardFile Drive ID
-
- The three restrictive options are self-explanatory. Set
- these options if you do not want to allow users (no matter
- what their privileges) to print Cards, edit Cards or
- create Links.

- The other two options require a little explaining:
-
- When the Batch Update option is set, the implementation of
- all changes made to a CardFile are postponed until you
- manually perform an update (rather than being completed
- "on the fly"). See Update for more information.
-
- The CardFile Drive ID option is for the specific situation
- in which customers run TextWare on a hard disk (local or
- network), but also need to access CardFiles on a CD-ROM.
- If such a user tries to access a Link in the CardFile on
- the CD-ROM, TextWare will look to the hard disk for the
- Link information (image, etc.), and the Link will not be
- found. This problem can be avoided if the CD-ROM publisher
- sets the CardFile Drive ID option prior to indexing the
- CardFile. If the publisher does this, then all Links on
- the CD-ROM CardFile will be found. This is not a problem
- for CD-ROM users who do not load full-function TextWare
- from their hard disks.

- To set the options, enter the path and the name of the
- CardFile whose options you wish to set. Select as many of
- the options as you wish. Use the mouse, the Tab key or
- the Alt key in combination with the highlighted letters.
- For example, to select No Linking, press Alt+L. When the
- selections are set the way you want them, select OK.

- CardFile Startup

- You may set up a startup item for each CardFile. The
- startup item executes each time a user opens the CardFile.
- A startup item may be an image, a text file, or even audio
- or a video clip.

- Enter the path and name of the CardFile to which you wish
- to add a startup item. Move to the next field by pressing
- Tab or using the mouse. Enter the name of the file you
- wish to execute whenever the CardFile opens. If the item
- is a text file, simply enter the name of the file with a
- .SUP extension. Otherwise, the item must be an executable
- file. If the item is an image file in PCX format, you may
- use TextWare's PCX viewer.

- The CardFile Definition File contains the options set

- path and the name of the CardFile whose CardFile
- Definition File you wish to view or edit (no file
- extension is necessary). TextWare starts your designated
- text editor and opens the CardFile Definition File. You
- may make any changes you need. However, you must maintain
- the existing, structured format. You must also save the
- file as ASCII text.

- Command File

- indexing documents whose names contain a number, such as
- chap1.doc, chap2.doc, and on through chap11.doc. If the
- specified pattern is chap*.doc, then the default order of
- indexing would be chap1.doc, chap10.doc, chap11.doc,
- chap2.doc, chap3.doc, and so on. Editing the command file
- allows you to change that sequence and put the files in
- the order you prefer.

- command file (no extension). This will start the
- specified ASCII text editor and display the command file.
- The command file is an ASCII text file that contains
- TextWare's special markup language. You must maintain the

- Group Description

- If you select File Name and Text and are copying the files
- to TextWare's internal format, the DOS file names become
- group names.

- Users of TextWare 3.0 may have used Edit the Command File,
- before indexing, to change a document name from the default DOS
- file name to a more meaningful document name. TextWare 4.0
- allows users to change this name after indexing at any time by
- selecting Group Description.

- Enter the name and path of the CardFile that you wish to
- change. Use Tab or Alt+F to move to the Change Description From
- text box. In this box, enter the name of the group you wish to
- change. This name must be entered exactly. It is case sensitive.

- Press Tab or Alt+T to move to the Change Description To
- text box. Enter the new name for the group. The message "Changing
- Short Displays" will momentarily appear. The group name will
- now be changed.

- Indexer

- TextWare 4.0 ships with two indexers-a 16-bit indexer for
- use on 286-based computers, and a 32-bit indexer for use
- on 386- and 486-based computers. You must select the
- correct indexer for your computer. TextWare's default
- indexer is the 16-bit indexer.

- A 386 or 486 computer can run either indexer. However,
- the 32-bit indexer will execute faster, and will take
- advantage of the additional performance and memory
- capacity of 386 or greater computers. It can use up to 32
- MB of expanded or extended RAM for indexing.

- Choose either 32 BIT or 16 BIT by moving the highlight bar
- or clicking on the desired choice. Press Enter (OK) to
- finalize the selection.

- The indexer you choose will automatically be used for
- updating CardFiles.

- Create Template

- The design for the template is completely free form. Move
- to the desired locations using the arrow keys. Be sure to
- type a description for each field.

- Use the underline key to define the position and length of
- each field. You may enter any characters you wish to
- appear with the entered text, such as dashes, parentheses
- or slashes. The Insert key toggles between insert and
- typeover mode. To save the template, press Esc. The
- Template Name dialog box appears.

- Enter a descriptive name for the template and select OK.
- The template definition will be saved and you will return
- to the indexing menus.

- CardFile Security

- TextWare 4.0 allows you to place password restrictions on
- CardFiles. You may create up to three passwords, each
- allowing access to different capabilities.

- The security categories are as follows:

- o Print (the right to print selected Cards)

- o Edit (the right to change, delete and add Cards)
-
- o Link (the right to create and delete Groups and Links)
-
- Each of these rights may be granted independently.

- To set a password, type the path (if necessary) and the
- name of the CardFile in the specified box.
-
- Note: The first password you create must have all rights,
- and is to be used for administrative purposes. You can then
- use the other two passwords to restrict access to the CardFile.

- Enter a password in the Password field. Select the
- functions you will allow a user of this password to
- perform.
-
- Select OK to accept the settings.
-
- To set another password, repeat the steps above. You will
- be asked for a password when you try to save the second
- and third passwords. This is because the CardFile is
- already protected by the first password. You must enter
- the administrative password (the first one, which provides
- all rights) in order to place additional passwords.

- Add File Type

- TextWare lets you convert more than 40 popular word
- processing and spreadsheet file formats to its internal
- format. A basic set of file conversion programs are
- included and listed in the File Types list box, which you
- see when creating a CardFile Definition File. However,
- you may need to add other file type conversion programs to
- the software at some point. You may acquire additional
- conversion files by calling TextWare Technical Support.

- To Add a File Type, enter the description for the
- conversion program. This is the text that will appear in
- the File Type list.

- Move to the next text field (mouse click, Tab or Alt+N)
- and enter the path and filename of the conversion program
- in the Conversion Program field. This file will be an
- executable file similar to W4W07F.EXE. Select OK. The
- file type will be added to the list. Up to six additional
- file types may be added.

- Generate the Command File

- The command file contains information that the TextWare
- indexing program uses to create the CardFile, including a
- complete list of all files to be indexed.

- indexed, in the order in which they will be indexed. To

- well as their resulting sequence in the CardFile, you must
- edit this file.
